We swapped four subscriptions for one system of our own and save over £1,000 a month. The money was never the real reason. Here is what was, and how to tell if it is time for you.
Replace them when they stop fitting, not because they cost money. We swapped four subscriptions for one system of our own and it saves us over £1,000 a month, but the cost was never the problem. Off-the-shelf software makes you work its way. When the system is yours, it works the way you do, and every part of it talks to the rest.
What we replaced
Call booking, instead of Calendly
People book a call straight into our CRM. They pick a time, add their details, tell us where they heard about us and drop in a website link if they want it reviewed. Then they get a WhatsApp reminder, with the option to reschedule, cancel or let us know they are running late.
A projects board, instead of monday.com
That one was about £80 a month for our team. Our own board has a team chat, a client chat and a space to work through each build together, and the client can see where their project is at every point. Less back and forth on WhatsApp, less chasing.
Contracts, instead of SignWell
Our contracts carry a full audit trail: the agreement, the price, when the client opened it, and a record of the signing. The moment a contract is signed it lands on the projects board and the team is told, so the work can start.
Enquiry forms, instead of Typeform
The forms sit on our own website and links page, and anyone who fills one in gets a WhatsApp reply straight away.
The real reason: it all talks to each other
Four tools that do not talk to each other means someone has to be the glue. They copy the booking into the CRM, the signed contract into the project tool, the form answers into an email. Every hand-off is a chance for something to slip.
When it is one system, a signed contract becomes a project without anyone touching it. A booking becomes a reminder. A form becomes a lead with a reply already sent.
How it is built
We built it with AI, on our own UK hosting, rather than stacking up more platforms to run it on. AI made it fast. Ten years of knowing how an agency actually runs is what made it right.
Is it time to replace yours?
Probably, if:
- You are paying for four, five or six tools that do not talk to each other.
- Somebody types the same information in more than once.
- You have changed how your business works to suit the software.
Probably not, if your tools fit and nobody is copying anything between them. Boring software that works is a good thing.
Questions people ask
Is building your own software cheaper than subscriptions?
It can be over time, and it is for us. But price on its own is a poor reason to switch. Switch when the software is costing you time and mistakes, not just a monthly fee.
What happens when it needs changing?
That is the point of owning it. It changes when your business does, not when a software company decides to add a feature.
Can I replace just one tool?
Yes. Start with the one that causes the most copying and chasing. Joining two things up is often enough to feel the difference.
